Tender preparation becomes more manageable when the requirements are converted into an organised work plan. The first objective is not to begin writing immediately. It is to understand exactly what the buyer requires and how the submission will be evaluated.
1. Read the full tender document
Review the instructions, scope of work, mandatory forms, technical requirements, commercial requirements, submission method and closing time. Note any compulsory site visit, clarification deadline or pre-bid meeting.
2. Create a compliance checklist
List every required item and identify where it must appear in the submission. Mark whether the item is available, requires updating or must be prepared from the beginning.
3. Assign responsibility
Identify who will provide technical information, pricing, certificates, financial information, HSE documents and signatures. Set internal deadlines earlier than the official closing date.
4. Check evidence and consistency
Confirm that names, addresses, dates, project descriptions and company information are consistent throughout the submission. Make sure claims are supported by suitable evidence.
5. Complete a final submission review
Check forms, signatures, page order, file names, envelope labels, electronic media and upload requirements. Submit early enough to deal with technical or delivery problems.
